Clinic call tracking, CRM analytics and front-desk control
Kovganko Global connects a clinic's ads, calls, WhatsApp, CRM and actual visits so you can see which channel brings paying patients, and fixes how the front desk handles leads. In a Dubai clinic, optimising for booked appointments and answering leads within 3–5 minutes took bookings from 52 to 93 a month.

Why ad budgets die at the front desk
- Slow replies. A lead answered hours later has usually booked elsewhere.
- No script. Administrators answer questions but do not offer a time slot.
- No link to visits. Ads are judged by messages or form fills, so budget goes to campaigns that do not bring patients.
- No-shows and lost repeat visits. Patients who booked once are not reminded or brought back.
What we set up
- Call tracking and UTM tags so every call, form and WhatsApp chat has a source.
- CRM pipeline from lead to booking, visit and payment.
- End-to-end reports: cost per booking and per paying patient by channel and campaign.
- Front-desk control: call listening, response-time targets, scripts that end with a booked slot.
- Retention: reminders, no-show control, reactivation of the existing patient base.

Compliance
Scripts and follow-up messages follow the same rules as ads. In Dubai the DHA advertising rules ban absolute claims such as “the best”, “100%” or “guaranteed” and require risk warnings for invasive procedures (Khaleej Times); we keep front-desk wording consistent with them.
FAQ
What is end-to-end analytics for a clinic?
It links each ad click, call or WhatsApp chat to the booking, visit and payment in the CRM, so you see cost per paying patient by channel rather than cost per click.
How fast should a clinic answer a new lead?
As fast as possible. In our Dubai project the front desk moved to answering within 3–5 minutes, and bookings grew from 52 to 93 a month.
Do you train administrators?
Yes. We listen to calls, write scripts that end with a booked slot and set response-time targets, then check them weekly.
Which CRM and call tracking do you use?
We work with the clinic's existing CRM where possible and connect call tracking and UTM tags to it.
Can this reduce no-shows?
Yes. In a clinic network in the Urals reminders and no-show control cut no-shows from 18% to 7%.
